to operational complexity.

QuickGuestBook is designed not only for immediate ease of use, but also for the long-term order needed as operations grow. Hospitality management does not end with a simple “one user manages one property” model. Properties may increase, visibility may need to differ by staff role, and external partners or agencies may work across multiple operators. Our design philosophy is to embrace those real-world complexities naturally, while keeping the day-to-day user experience as simple as possible.

Easy to start

For small accommodations and independently operated properties, it is important that users can begin operations quickly without being burdened by complexity. The first priority is that it feels natural to use. At the same time, the foundation is built to support future growth.

Built to scale without breaking

More properties, multiple locations, larger teams, and separated responsibilities— rather than forcing these complexities into the system later, the structure is designed from the beginning to adapt flexibly as operations expand.

Safe to delegate

Instead of relying on shared accounts, access can be granted only to the people who need it, and only to the scope they require. Even when collaborating with external staff or agencies, operations can remain organized without mixing information together.

Simple on the surface, yet structured underneath to support multi-location operations, multiple teams, and agency collaboration. QuickGuestBook is designed to balance everyday ease of use with the strength needed for long-term operations.

  • Set optional pricing to ¥1,100/month for one-tier taxation, ¥2,200/month for two-tier and three-tier taxation, and ¥3,300/month for four-tier or higher taxation.
  • Became a special collector for accommodation tax in Miyagi Prefecture.
  • Started development of a translation system for the guide section, accommodation terms section, and add-on product list section (user-created input areas). (Jan 15)
  • Added support for the reduced consumption tax rate (8%) and anticipated future tax rate changes. (Jan 27)
  • Enabled users to configure the reduced tax rate to 5%, 0% (not applied), or set the general consumption tax to 5% on the user side.

  • Released the guestbook sample.
  • Added support for request-based sales.
  • Created a video about monthly report output.
  • Added support for tax collection, recovery, and monthly report output from one-tier fixed taxation up to five-tier fixed taxation.
  • Held an internal meeting on percentage-based taxation systems (Niseko, Kutchan, Okinawa, Tokyo 2027). Depending on how municipalities round taxable base amounts, calculation results may differ.
  • Since percentage-based taxation is common worldwide, more municipalities are expected to introduce or revise toward this system in the future.
  • Updated the tax settings so users can select from a pull-down menu in order to support monthly reports for all tax rates across Japan. Free configuration is also possible for collection-only taxes such as bathing tax.
  • Received the Traveller Review Awards 2026 for two managed properties.
  • Completed translations for Japanese, English, German, Swiss German, French, Spanish, Italian, Portuguese, Danish, Arabic, Persian, Korean, Thai, Vietnamese, Taiwanese, Simplified Chinese, Hindi, Indonesian, Tagalog, and Bengali.
  • Reviewed the base subscription and optional pricing, and added white-label as an option. Please refer to Pricing for details.
  • Updated the folio so it can be edited manually.
• March 2026
  • Created a new agency program page. It is planned to share information with the app-side database. When registering as an agency, a Stripe Connect onboarding message is automatically sent, and required information should be completed there.
  • Updated the LP so that different PR and explanatory videos are displayed on smartphones and PCs.
  • Changed the name servers for both the app and LP to Cloudflare to help avoid bot visits and operations.
  • Enabled manual editing of folio payment history. Cash collection registration also became available.
  • Implemented the basic subscription structure, including trial handling, post-trial billing, and subscription management, and started testing. (Mar 9, 2026)
  • Enabled accommodation facilities to switch the guestbook frontend between dark mode and light mode based on their preference.
  • Implemented a two-color UI, switchable on the frontend.

• April 2026
  • Visited accommodation facilities such as Untapped Hostel, Asano Hotel, and Hotel Hamilton Sapporo in line with the launch of Sapporo City’s accommodation tax on April 1.
  • Switched Stripe from sandbox to production and started testing with three actual accommodation facilities.
  • Added caution notes in the add-on product description section for automatic charges that may occur before the guest’s actual stay date, such as charges triggered at confirmed or on arrival timing.
  • Configured and tested invitation and reminder emails in both Japanese and English. By default, emails are automatically sent immediately after booking, one week before check-in, and three days before check-in.
  • Updated the Accommodation Tax Collection Ledger (Monthly Report) Reference Table by attaching sample files.
  • Added support for white-label deployment, allowing guestbooks to be operated under your own domain (for example, app.yourdomain.com).
  • Reviewed the subscription pricing based on the Organization design. The originally planned 1.3% platform fee on successful add-on product sales was abolished and changed to a unit-based pricing model (¥250 per unit).

  • We have updated our external rewards and agency system into two options: (1) Referrer Program and (2) Reseller Program. You can choose either one (dual participation is not permitted). Under the Referrer Program, rewards are granted for app referrals upon successful completion of a subscription contract (based on the start of billing). The Reseller Program allows agencies to handle app functionality, settings, and connections on behalf of lodging operators, giving them the freedom to sell (resell) app features. For example, if a rental unit costing 250 yen is sold for 400 yen, the difference becomes the reseller's profit, and the 250 yen is treated as the wholesale cost. The Core Plan, priced at around 4,000 yen, represents the app access fee. Resellers can, for instance, sell this to their managed users for 5,000 yen. Since resellers are required to pay for their own Core Plan subscription, no matter how many additional properties they introduce, the only extra cost incurred will be 250 yen multiplied by the number of those rental units. In this scenario, with sales at 5,000 yen and costs at around 4,000 yen, the agency’s own access fee is completely covered. If a managed lodging facility fails to pay the agency its commission or subscription fees, the agency has the authority to suspend its functionality. If an agency manages all app configurations, Beds24 settings, and Stripe connections on behalf of a lodging operator for a fee of, say, 25,000 yen, the agency retains the entire 25,000 yen as revenue. Please note that the 1.3% platform usage fee on successful additional product sales, which was initially planned by the app, has been dropped for this release. However, resellers are free to contract separately with their users to collect this fee independently. Furthermore, although this feature is currently under development and will not be available immediately after app deployment, we do not restrict resellers from obtaining their own custom domains via a white-label solution to deploy and subscribe (resell) this cloud-based guestbook system under their own brand. The default domain is app.quickguestbook.jp, but it can be deployed and sold (resold) using variations such as app.eazyguestbook.my (intended for Malaysia) or mobileguestbook.id (intended for Indonesia). Custom domains must be acquired by the reseller. We will provide updates on the white-label solution via landing pages, the app, or email as soon as it is ready.
  • Updated the system to allow Stripe to connect to separate Stripe accounts for each individual facility and rental unit.
  • Modified the sign-up screen to accept referrer codes and added a referrer code field to the database. The 15% reward rate remains unchanged. Please note that it may take some time to verify whether a referrer has an active subscription when processing reward claims and payments. The Referrer Program and Reseller Program cannot be used in combination.
  • Added a section on the sign-up screen to select and input all nationalities.
  • In the test environment, upsell cancellations were previously restricted for both administrators and users after specific stages (such as confirmation or provisioning). This restriction has now been limited to users only, and an update has been deployed allowing administrators to modify this freely at any time.
  • Started uploading the accommodation tax collection ledgers (monthly summary tables) for all municipalities across Japan based on priority order, excluding those marked with an "x" on the compatibility table.
  • Updated the app to automatically apply the appropriate accommodation tax based on the prefecture and address entered during sign-up.
  • Adjusted user permissions. User roles now consist of Business Administrators (paying users of the app), Portfolio/Workplace Administrators, and Workplace Staff. Only Business Administrators have the authority to create portfolios.
・June 2026
  • Fixed an issue regarding taxes other than accommodation tax, such as consumption tax or hot spring tax, allowing users to adjust the modification date (start date) caused by tax system revisions. (Applicable to reservations from tomorrow onwards, or removable from reservations from tomorrow onwards)
  • The automatic tax collection feature (Auto-collect) can be set to disabled, upon arrival, or upon departure; however, it will only apply to future reservations beyond the modification date. For the arrival option, the payment will be charged to the guest's credit card approximately at the property's check-in time set by the user, and for the departure option, at the check-out time set by the user.
  • We have discontinued the gem (wrapper) that was originally planned to be used for app subscriptions, eliminating the dependency. We have changed the specification to directly write using the Stripe gem. This will allow for more freedom in future development. The app is scheduled to be deployed on June 18th.
  • This app automatically sends guests an encrypted URL as a guestbook. Because we cannot guarantee that this encrypted URL will never be leaked externally, we have added a screen that requires authentication only once if the link is accessed from a different device. This authentication screen requires you to enter your registered phone number, the last four digits of your credit card, or both. Please note that if you booked through Agoda, your phone number will be Agoda's. When multiple people are filling out the guest register together, it is preferable to enter your credit card information last, so we have changed "③ Payment Method" to "④ Payment." This change is for the convenience of the person who made the reservation entering their information last.
  • We have received an invitation from Beds24 (headquarters) to become an official API partner. While we plan to list our service on their official marketplace as a partner, the headquarters team has expressed a preference—at least for the time being—that users carefully review the instruction manual on our landing page rather than relying on automated API integration; we are currently in discussions with them regarding this matter. Immediately following deployment, integration will be handled manually using an invitation code and webhooks.
