Will you support accommodation tax in Fukuoka City?
We support the collection of accommodation tax for all municipalities and prefectures that impose accommodation tax.
Can guests upload identification documents in the guestbook?
It is not possible to determine nationality from reservation information received via OTA or PMS. Therefore, we require identification document uploads from all guests, regardless of whether they are foreign nationals or Japanese. This also helps discourage property damage, unauthorized parties, and other improper use.
Which PMS platforms are supported?
As of September 2025, we started with integration with Beds24.
Integration with Temairazu is also planned.
Can monthly tax reports be exported?
Monthly reports are required for tax filing. By having all guests complete the digital guestbook, the system outputs monthly reports based on the actual accommodation tax collected. Tax return forms are then generated based on those monthly reports, so it is important to ensure that guests complete the guestbook properly. If the guestbook is incomplete, accommodation tax may not be calculated correctly. For fixed-amount taxation systems, we currently support monthly reports from one-tier to five-tier fixed taxation.

CSV export is currently still in the testing phase, but import tests have already been completed for both single-line filings to a single tax office and multi-line filings to multiple tax offices. For multi-line filings addressed to a single tax office, eLTAX may display a “duplicate” error. In such cases, if multiple properties are being filed to one tax office, they must be split into separate single-line CSV files and submitted multiple times. We are currently verifying the API connection method.
We have child pricing. Can that be handled?
Yes, QuickGuestBook also supports child pricing settings. In addition, accommodation tax is not collected for room charges below the tax exemption threshold. Tax is also not collected in cases such as school events that are exempt from accommodation tax. For OTAs like Airbnb that do not have child pricing settings, you will need to include a note for tax calculation purposes regarding child pricing. For detailed settings, please see here.
What does “selling add-on products” mean?
Accommodation operators can freely create and sell products in the backend, such as parking fees, early check-in, late check-out, transfers, activity participation fees, breakfast tickets, and more. Because this is software-based, guests can complete purchases simply by using their mobile phones. In other words, it is a guestbook with built-in sales functionality. For elderly guests who are not comfortable using smartphones, please support them on-site so they can also pay in cash if needed. Operationally, you would record this as cash collection (or other collection). In essence, it is similar to the QR code ordering systems now commonly seen in restaurants, where each guest places their order on their own phone. The add-on product sales section of the guestbook can be viewed here. The timing of payment can also be selected depending on the product.
What is the signature feature?
Guests are asked to sign accommodation terms, house rules, and terms of use. Even if these are already posted on an OTA or sent by email, this helps draw the attention of guests who may otherwise say they “did not read them.” A sample of this part of the guestbook can be found here.
Is the system available only in English?
During development, English has been used as the base language. At launch, a language selector with flag icons will appear on the edge of the screen, and both guests and accommodation operators will be supported in multiple languages. As of March 2026, the drop-down supports 20 languages.
We do not have a credit card account. Is that a problem?
Accommodation operators, including vacation rentals, can easily create a Stripe account. Stripe is an extremely powerful payment gateway. It can be opened smoothly by creating a booking portal site in Beds24. We can help you with setup, so please contact us.
Can consumption tax also be collected?
Yes, consumption tax can also be collected. This assumes that all OTA prices are configured as tax-exclusive. By doing so, the cost of collecting tax can potentially be reduced from the usual 12–15% down to around 3.6% (Stripe domestic card payment fee: 3.6%). However, depending on the OTA’s settings, this may not always be possible. If consumption tax collection is left to the OTA, it may effectively mean spending around 15% just to collect consumption tax. Booking.com does not originally offer tax-exclusive settings, while Expedia does. Meanwhile, Airbnb does not actually have a formal concept of consumption tax in the same way; accommodation operators simply handle it internally as tax-inclusive pricing. More specifically, because Booking.com allows operators to remove consumption tax settings, we believe that in the long term it should also be possible to collect consumption tax through our system. However, at present we have not seen any accommodation facility actually doing this yet, so we believe it will be necessary to test it with at least one property.
Our parking is free. Is that okay?
Yes. For add-on sales, accommodation operators can decide what to sell, so it is of course possible not to sell parking. On the other hand, some facilities may wish to charge for items that are not truly free in practice, such as toothbrushes, bath towels, soap, or dryer use. You are free to configure which items to sell. For upsell settings, please check here.
Can activity fees, such as kayak tours, also be added?
Absolutely. In many cases, the site used to recruit activity participants and the site used to attract accommodation bookings are different. Depending on how you use your PMS, you are free to configure add-on products as needed. Some accommodation operators sell items such as surfboard rentals, snowboard options, or surfing school options. We recommend a request-based sales format, where a product or service is configured as a request, then confirmed and approved after checking with the outsourced provider.
Is it okay to charge guests extra fees on our own? Won’t OTAs get angry?
Please do not make unreasonable additional charges to accommodation fees. Fees such as shuttle service or parking, when treated as separate charges, must of course be clearly stated, but they can be charged. Some companies such as Airbnb say that transactions should not take place outside the platform, but in practice this is only their formal stance, and no penalties or delisting measures are actually taken. They simply have no way to collect those charges themselves. Some properties also charge a flat cleaning fee separately from the accommodation charge, such as ¥2,000. However, if it is charged uniformly, then it is part of the accommodation fee. Because it affects accommodation tax calculations, it should be added back into the room charge.
We have a café and restaurant on-site. Can kitchen order slips be generated?
In Japan, this would be similar to features available in systems like AirREGI or Restaurant Board. Our guestbook can operate 24 hours a day, so setting orderable time slots and discussing output formats would require separate quotation and adjustment.

That said, once printed menus need price changes or new items added, having to reprint them or cover prices with labels is not ideal operationally. Our menu is displayed on guests’ mobile phones, so products can be edited whenever and however often you like. Similar approaches are now being used by restaurant chains such as Gusto and Kushiya (using Denso systems). As mentioned earlier, please continue to support elderly guests who are not comfortable with smartphone操作.
We run an accommodation facility in Niseko, Hokkaido. Can monthly reports be output automatically?
Yes. We support both the five-tier fixed taxation system and the percentage-based taxation system starting on April 1, 2026. We also support tax collection ledgers (monthly reports) for percentage-based systems. Subscription and optional pricing have been updated, so please check Pricing. (February 2026)
We run an accommodation facility in Dhaka, Bangladesh. Can accommodation tax be collected?
Currently, only JPY may be selectable as the currency code, but accommodation tax collection itself is possible. Please create two tax settings, for example one for air-conditioned rooms and another for non-air-conditioned rooms, and link them to each room accordingly. Bangladeshi Taka will be added in the future. (As a side note, “Taka” is also the president’s first name.)

We run an accommodation facility in New Delhi, India. Can accommodation tax be collected?
Currently, only JPY may be selectable as the currency code, but you can create GST 18% in the backend. We also understand that the applicable tax rate may differ depending on the facility’s total annual sales. GST rates other than 18% can also be freely created in the backend. We are considering adding the Indian Rupee in the future.

Are the accommodation taxes and add-on sales proceeds first deposited to your company? What is the payout cycle?
No. Funds are not first deposited to our company. Please create a Stripe account for each accommodation facility. In principle, guest credit card payments are transferred directly into the accommodation facility’s bank account. However, Stripe’s 3.6% credit card processing fee will be deducted. Payout timing varies by country; for example, in Brazil it may be the next day, while in Japan it is about one week. For details, please see Stripe’s payout schedule FAQ.
Is QuickGuestBook a booking site, channel manager, site controller, PMS, or booking engine?
No. QuickGuestBook is not an OTA (Online Travel Agency), channel manager, site controller, PMS (Property Management System), or booking engine. Therefore, it does not basically accept direct bookings by itself. Instead, it is a multifunctional digital guestbook specialized in areas outside the normal scope of those systems: on-site small-amount payments, add-on product sales, automatic accommodation tax calculation and collection, and automatic creation of tax collection ledgers (monthly reports). It is designed to work in connection with Germany’s Beds24 (PMS / channel manager). Due to specification differences, it cannot connect to the Japanese version of Beds24. A master Beds24 account is required rather than a sub-account. Integration with Japan’s Temairazu is planned. Please see this sample guestbook.
When will the service launch?
The subscription function is currently in the testing phase. A free trial will be available on the landing page, so please use it from there.
What is white-label?
White-label is one of the optional features. If you use QuickGuestBook without this option, the guestbook is delivered to guests in invitation emails using the app.quickguestbook.jp domain. If you use the white-label option, that domain can be replaced with your own accommodation facility’s custom domain. A sample guestbook using white-label is available here.
What is an invitation email?
First, Beds24 receives the reservation obtained through an OTA. Next, QuickGuestBook receives the reservation information from Beds24 and immediately sends an invitation email asking the guest to complete the guestbook, using Beds24’s email functionality. The first email is called the invitation email, and all following emails are called reminder emails. For more details, please see here.
